Privacy Statement Effectus-HR
In this privacy statement we describe how Effectus-HR handles your personal data. Personal data is treated and secured with the greatest possible care. Effectus-HR respects the privacy of anyone providing personal data and of all website users and ensures that the personal information you provide us is treated in accordance with the requirements of the General Data Protection Regulation (GDPR). In order to be able to make our website and the associated services available to users, Effectus-HR and its business units must in a number of cases process personal data.
If you choose to voluntarily provide us with personal information, we will use this information in accordance with our privacy statement. The same applies if you leave personal data on the website.
Why Effectus-HR and not Salland Engineering?
Salland Engineering uses the services of Effectus-HR to attract new employees. To do this properly, Effectus-HR manages the website, but also the ATS (applicant tracking system). Only the directly involved employees of Effectus-HR have access to this data.
Who are we?
We are Effectus-HR, located in Leeuwarden, Snekertrekweg 61, zip code 8912 AA. Together with the operating companies active under Effectus-HR, we are responsible for the processing of your personal data (controller as it relates to GDPR).
From whom do we collect and what personal data do we collect?
We collect personal data from: visitors and users of the website. When you visit our website, we collect information related to the type of device, browser and how you use our website. By using various forms on the Effectus-HR website, you leave certain information with Effectus-HR. This can be personal data, such as your name and e-mail address.
We process the personal data that is necessary for our services, part of this data is required to be able to use our services. Additional information may be desirable to better tailor the service to your wishes and qualities or to meet more specific questions or requirements from clients. You are responsible for the correctness and relevance of the information you provide. More specifically, this concerns, among other things, the following (documents containing) personal data.
· Name, address, residence, e-mail address and other contact details
· Birth data, age
· Curriculum vitae (CV), information about education, internships and work experience
· Data on tests, training and courses
· Availability data
· Other data that may be important in the context of the assessment of the suitability of the candidate, for example references, certificates and motivation
· Passport photo and video (introduction) on a voluntary basis
· Data from participation in the workplace profile (DiSC profile)
· Data from (optional) participation in additional tests and assessments
We process personal data of persons who work for companies with which we do business to make offers for and/or provide information about the services and other activities, to maintain a business relationship and to conclude and maintain assignment agreements. What personal data do we collect from you?

· Details of the company you work for or represent
· Data to maintain a good relationship with you
· Data for events and meetings.
We only store and use the personal data that are provided directly by you or of which it is clear upon provision that they are provided to us for processing. We can only do this if the data subject has given unambiguous consent. That is why we ask for permission with every form. If you fill in a form, or send us an e-mail or letter, the data you send us will be kept for as long as necessary in relation to the nature of the form or the content of your e-mail or letter, or for the complete answering and handling thereof with a maximum of one year. For example, we collect your personal data if we did not receive it directly from you; from social media, only if we have a legitimate reason to assume that you would be interested in work or want to place a job and show an interest in our services. In that case, we will approach you if you are interested or want to use our services. If you are not interested, we may process relevant data from you to comply with your wish not to be approached by us, if we receive personal information from the reference contacts specified by you, if clients you are in process with share personal information about you with us, and if suppliers and clients who work with us and refer you to, for example, our website. In that case, we have agreed with the parties that they will inform you and refer to our privacy statement. The data is only processed within the EU.
Special personal data are sensitive data. For example, concerning health, criminal history, ethnic data or data concerning race or a citizen service number. Effectus-HR does not process this data. We only process special personal data if we are required to do so by law, with your permission or if you ask us to. If you ask us to store special personal data about you or if you make this data public yourself, then we only process this data if this is necessary for our services.
Why do we collect your personal data?
If you are a candidate or (potential) client, we naturally want to provide you with good service. We collect and process your data for the execution of our services, including recruitment and selection. We process and use the information to be able to document, maintain and fulfil the agreement with you, to maintain a good relationship with you, to determine your creditworthiness, to invoice, to communicate with you, to determine your suitability a particular position, to document your availability and to put you in touch with or introduce you to potential clients/employers/candidates, to inform you about our services, vacancies, features, products, other activities, event invitations and/or professional information (for example via e-mail, newsletters, professional literature, webinars, etc.) and to be able to make you offers on behalf of Effectus-HR, for generating management information and reports, performing market analyses, checks and audits.
We also keep records, for example of chat sessions, webinars and online (Teams) appointments. We do this, among other things, for the performance of our services, documenting agreements made, monitoring quality or in the context of providing evidence. In order to continue to provide you with the best possible service, we are continuously working on the development of our services. In some cases, we process personal data for this, for example if you have registered for a feedback moment, tell customers, leave a contact request and if you ask a question about our services. We do not collect more personal data than necessary for the above purposes. If we do not keep the data for those purposes, we can still keep the data for archival purposes. This means that they are only used in legal proceedings or for historical, statistical or scientific purposes.
For the optimisation of our services
For the measurement of web statistics, Effectus-HR collects anonymous data about the use of this website. By analysing the collected data, the website can be improved, and Effectus-HR can further optimise its services. The collected data will not be used for any other purpose or made available to third parties.
This concerns the following data: your IP address, the address of your internet provider, the browser you use (such as Internet Explorer or Firefox), the time and duration of your visit and which pages you have visited. Effectus-HR.nl uses temporary session cookies. These cookies are only used for the purpose of the load balancer and are deleted after the visit to the website. Cookies contain only a unique number and no personal data.
What are the legal bases for processing your personal data?
In view of Article 6 of the General Data Protection Regulation, the following justifications for the processing of your personal data exist.
· The processing is necessary for the execution of and/or arises from your agreement with Effectus-HR
· The processing is necessary to carry out the services provided by Effectus-HR or arises directly from them
· The processing is necessary for Effectus-HR to comply with its legal obligations
· By registering with Effectus-HR you have indicated that you are available for work
In doing so, you have also given permission to process certain data in that context.
To whom do we pass on your personal data?
Your data will be processed by Effectus-HR. Effectus-HR can pass on your personal data to its (potential) clients, relations and suppliers (for example to generate your DiSC workplace profile). In addition, Effectus-HR can provide your data to third parties if it is entitled or obliged to do so on the basis of the applicable laws and/or regulations, a court order or a court judgment, or if it has received permission from you to do so. Furthermore, Effectus-HR can post and/or make public your profile or curriculum vitae, whether or not anonymously, within a closed section on its website and customer portals, after you have given permission for this, possibly supplemented with the test results and your motivation.
Security
We take security measures to prevent misuse of and unauthorised access to personal data as much as possible. Effectus-HR, together with sub-processors, ensures appropriate organisational and technical security of files in which personal data are stored. In doing so, we ensure that the data are only accessible to persons who are authorised by virtue of their position and that the data is only used for the purposes for which it was obtained.
How long do we keep your personal data?
The retention periods we use depend on the applicable statutory retention periods. Your mediation data (CV, test results, etc.) are available up to one year after the last contact. You will receive a message from us when this year is almost over. Certain personal data are available to Effectus-HR for a longer period of time for the purpose of, for example, claims, audits and tax obligations. Effectus-HR does not store your personal data for longer than is legally permitted, legally required and/or necessary for the purposes for which the data is processed. How long certain data are stored therefore depends on the nature of the data and the purposes for which they are processed.
What are your rights with regard to your personal data?
You have the right to request Effectus-HR to provide access to the personal data that Effectus-HR processes about you. You can also request adjustment or removal of your personal data from the Effectus-HR system or request that the processing of your personal data be limited.
In addition, you have the right to object to the processing of your data and you have the right to have your data transferred by Effectus-HR. If you wish to exercise these rights, you can send an email to info@effectus-hr.nl. In case of your request, for the protection of personal data, we will have to be able to verify your identity. You must specify as much as possible in your request which personal data it concerns. If we are unable to comply with your request, you will receive a message explaining why we are unable to comply. We may also ask you for further information before we make a final decision on your request.
